What we collect, why, and what we don't.
Overview
Okapi Gaming Lab repairs, refurbishes, and sells game controllers. This policy covers the information we collect through our website, repair tickets, and related correspondence — not how any third-party service (like Stripe) handles your data once you're on their site.
What we collect
- Name, email, phone number, and mailing address (for shipping and contact)
- Repair details you give us: platform, symptoms, requested services, controller color/identifying marks
- Organization details for bulk/group/partner submissions (org name, contact name, roster information)
- Payment status (paid/unpaid) confirmed by Stripe — not your card number
- Basic website form metadata (timestamp, which form you submitted)
What we don't collect
- We never collect or store credit/debit card numbers. Payment is handled entirely by Stripe through a Payment Link or emailed Invoice.
- We don't sell your information to third parties.
- We don't require a government ID from retail customers. Collection Partners may ask for ID to verify identity at their pickup counter — that verification happens at the partner location and isn't data we collect or store.
How we use it
- To diagnose, quote, repair, and ship your controller
- To communicate with you by email about your order — phone is for backup/manual contact only, not routine updates; we don't text or call for routine order status
- To track your order, warranty, and (if applicable) buyback/trade-in in our internal records system (Grist)
- To honor a warranty claim if you submit one later
Where it's stored
Order and customer records live in our self-hosted Grist instance. Email correspondence runs through Hostinger/Titan email. Payment processing is handled by Stripe under Stripe's own privacy policy — we don't have access to your full card details at any point.
Third parties we work with
- Stripe — payment processing
- Shipping carriers — to deliver your controller
- Collection Partners — not live yet (see Local Pickup & Drop-Off); once active, partners will only receive what's needed to log and label a drop-off (your name and ticket info), not your full order history
Data retention
We keep order records for as long as reasonably needed for warranty coverage and normal business recordkeeping.
Your choices
You can opt out of marketing communication at any time. You can ask us what information we have on file, or ask us to delete it, subject to what we reasonably need to keep for active orders, warranty coverage, or legal/accounting requirements.
Group & student submissions
For school/esports group orders, submissions should come from an authorized adult contact (coach, advisor, IT staff), not directly from students. This policy is not directed at children, and we don't knowingly collect information directly from minors.

We may update this policy as our tools or process change. The version on this page is the current one.
